How do I get an ID Card (new, damaged, or lost)?

The Service Desk, located inside the Leatherby Libraries (1st floor), is available for in-person ID card requests. Students may visit the Davis Center, Henley Gym (basement), or the dorm RDs/RAs.

  • Submit your photo
  • A student’s ID card is intended to be used throughout the student’s enrollment at the University. An ID card is not replaced unless:
    • Changes in data are required.
    • The card is defective.
    • Damaged through normal wear and tear.
  • A replacement fee of $10.00 is charged to obtain a replacement card if the card is lost. Students can pay using their declining balance when requesting a replacement ID card.

Your Chapman University student ID card authorizes access to a host of campus resources and confirms your role. The photo that you submit for the ID card should conform to the following guidelines:

Photos must:

  • Be current (taken within the past year).
  • Be taken straight-on, showing your face clearly with a solid white or light colored background.
  • Be no larger than 2” X 2” in size at 250 pixels per inch.
  • Be saved in JPEG format.

What is an ID Card Encoder?

An ID Card Encoder is a magnetic stripe card reader/writer device that updates (encodes)Persona Offline access when an ID Card is inserted. It writes information on the magstripe, grants access to buildings and doors, and updates the card expiration date.

How do I use an Encoder?

You insert the ID into the Front Slotof the Encoder with the ID Picture facing up, picture on the left,and forward. The Encoder will pull the ID into the unit, and once updated, it will be ejected outward. A successful encoding will take 10-15 seconds, depending on the updates requested.

An unsuccessful encode will eject immediately. If this happens, you should repeat the process until you hear 3 to 5 “clicks” from the Encoder. There are many reasons for an unsuccessful encoding: a dirty magstripe (wipe clean and try again), a worn-out magstripe, a cracked or damaged magstripe, or a dirty encoder.

Are there different kinds of ID Card Encoders on campus that work differently, or are they all the same?

Many of the ID card Encoders on campus are connected to the network. They receive information from Persona and write the data to the magstripe. There are a few encoders connected directly to a PC (used to grant access to dorm rooms) that are not used for everyday encoding needs.

Door Readers (Locks)

What are the different types of Door Readers available on campus doors?

There are three types of Door Readers (locks) on each campus. 1) Wi-Fi readers, 2) non-Wi-Fi stand-alone (dummy) readers, and 3) Blackboard Transact exterior door readers. 

  • Each reader type is controlled by a different access control system: Persona Offline is used for stand-alone/dummy readers, Persona Online/Genetec is used for Wi-Fi readers, and Blackboard Transact is used for exterior readers.    
  • Wi-Fi readers do not require encoding the ID card. Encoding is only required if the access is a mix of offline/dummy and Wi-Fi readers. 

How does each Door Reader work?

  • For Wi-Fi readers, place the ID card flat on the reader for a few seconds until the LED light turns green. Do not wave or quickly tap the ID on the reader. Hold it on the reader, and the door will unlock. Some Wi-Fi readers also require a PIN (dorms and secure areas). Green (access granted), Red (bad ID card read or access denied), Yellow/Purple or no LED indicator (replace batteries).
  • Stand-alone readers require you to insert the ID card into the card slot. When the LED glows Green, the door will unlock. Green (access granted), Red (bad ID card read or access denied), Yellow or no LED indicator (replace batteries). 
  • Blackboard Transact exterior doors require you to slide/swipe the ID card in a downward direction – the full length of the ID card - to gain access.

  • When requesting access or changes, please use the Service Desk Keycard Access Request Form, and include the following information: Full name of the user needing access, Chapman ID number, the SEOS number for Wi-Fi lock - five-digit code on the back of the ID card after the 6A* or 6B* - if applicable (a picture is preferred), and the building (interior/exterior), room/office number of the door, or the lab/classroom/conference room space.

  • Wi-Fi readers update on intervals. Depending on the readers or location, it can take between 10 minutes and 2 hours before the reader receives the new access changes. 
  • A campus-wide initiative is underway to replace all interior and exterior readers with Wi-Fi readers that update within seconds.
