Interfolio

»Interfolio

Interfolio is a “faculty-first platform” that provides multiple modules to create a faculty information system. Chapman University utilizes the Interfolio RPT (Review, Promotion & Tenure) module.

Beginning with the 2023-2024 cycle, all Critical Year, Tenure & Promotion Cases will be evaluated using the Interfolio RPT Platform. Resources and Information about Interfolio can be found on this page and the Candidate Guide to Interfolio RPT.

The Office of Faculty Affairs supports the Critical Year, Tenure & Promotion process for faculty in accordance with the Chapman University Faculty Manual - Section V. For up-to-date information on the process, please review the materials housed on the Faculty Affairs page.

Login Instructions:

  1. Go to Interfolio's Sign in page
  2. You will be redirected to the Chapman University Single Sign On (SSO).
    1. Enter your full Chapman Email
    2. Enter your Chapman Password
    3. "Sign In" (blue box)
  3. When it asks, where would you like to go? Select "Chapman University."

Important note: If you are already signed in to the network – it may instead have "Chapman University" listed. In that case, you simply click the blue box "sign in."

Dossier is an online platform for users to collect and curate scholarly materials, request and receive confidential letters of recommendation, and prepare for upcoming evaluations. A Dossier account never expires, and documents stored in it remain indefinitely. Dossier allows users to collect and organize their materials before they need to be used. Your Interfolio Dossier is the account you will use to initially load and organize all of your documents needed for the evaluation process before adding them to your Candidate Packet. (Your Dossier account is only viewable by you.)

On homepage, ‘My Tasks’ dashboard you will see list of cases.

  • Click on name of candidate for case you wish to view
  • Click on file you wish to view from this Case Materials page
    • OR
  • Click on ‘Read Case’ button to view all case files

FPRC/FRC and FPC chairs will record the vote count for their committee.

When in candidate’s case:

  • Click on ‘Case Details’ tab
  • Scroll down to ‘Voting Results’
    • Add votes
    • Save

  • Click on ‘Case Details’ tab
  • Scroll down to ‘Required Items’
    • Click on pencil icon to add evaluation letter
    • Make sure to choose correct section for letter to upload to.
      • Dean will choose Dean Evaluation, FRC chair will choose Faculty Review Committee Evaluation, etc.

When in candidate’s case:

  • Click on ‘Case Materials’ tab
  • Scroll down to find your evaluation letter within the ‘Internal Sections’
    • Your evaluation will live under section it was uploaded to.
      • Deans letter will be Dean Evaluation, FRC chair’s letter will be Faculty Review Committee Evaluation, etc.
    • Check box on your letter and scroll to the top and click on the ‘Share’ icon  choose ‘With Candidate’
    • Copy and paste this language from instructions for ‘Message to Candidate’
      • You have 7 business days to respond to the evaluation.  Please upload your response in Interfolio directly.  Do not email the response to us.  If you have questions on this process please contact The Office of Faculty Advancement at facultyaffairs@chapman.edu.  Click here to learn how to upload a response.
      • Subject can be ‘Name of Committee’ Evaluation letter
    • Check ‘Enable’ box on right side of screen.
      • Message reason -> Response
      • Deadline –> 7 business days
      • Section for response -> ‘Post-Submission Items’
      • Click ‘Send’

  • You do not have to enter message
    • Uncheck box ‘Send a Message to the Reviewers gaining access’

Best practice would be to use your Dossier first to upload all of your files. Uploading your files to Dossier prior to completing your Candidate Packet in the Interfolio RPT platform will save you time. These documents will also stay housed in your Dossier for future reviews.
If you had an ePortfolio built out for a previous review cycle, all of the documents you had saved will be migrated to your Dossier. Look out for a folder labeled "Migration (date)". You can then check these files to make sure they are correct and name and organize them in your Dossier as you wish.
Your Candidate Packet is the packet that will be submitted to your evaluators for your review. To complete your packet, you will load each of the required documents in the specified sections and complete the required forms. Candidate Packets are built each March, following the receipt of a candidate's letter of intent.
While Interfolio does not allow for internal links to other sections of your Candidate Packet, it does allow for you to include external links in the documents you upload. These links are clickable and will lead your evaluators to external sites if necessary. You should not link external sites you control. If you find this necessary, please contact OFA for permission, who will seek the appropriate approvals for you to move forward by emailing facultyaffairs@chapman.edu
No, please do NOT submit sections individually. We ask that you please submit all of your sections together on the due date when all is finished. Once sections have been submitted, they become 'Locked', no changes may be made and you will have to reach out to the Office of Faculty Affairs at facultyaffairs@chapman.edu
When applicable, you will need to submit your External Reviewer Documentation section before the rest of your Candidate Packet. Only the External Reviewer Documentation section should be submitted on the June due date. These documents will be viewed by your External Reviewers only. Please be sure to include everything you wish for your External Reviewers to see here.Please Note: once sections have been submitted, the sections become "Locked," no changes may be made and you will have to contact OFA at facultyaffairs@chapman.edu for assistance.
While there are no longer “landing pages” we did create a “Letter to Evaluator” section in your Candidate Packet to be used if you wish in that regard. This can include a short summary of your file and is not to be confused with the required Executive Summary.
A question came up about loading individual files vs. loading related items in bulk. For instance, can you load years of teaching evals, or years of grade distributions in a single PDF or should you load one at a time? The FPC chair confirmed, as we discussed, from an evaluator’s point of view the individual documents are preferred. One can easily view them and access them that way.
Documents uploaded to the RPT Candidate Packet can be rearranged by clicking and dragging. We recommended uploading your documents from oldest to newest so that new items could be added as necessary without the need to reorder your materials.

You can make your materials within your Candidate Packet more accessible for your evaluators by incorporating the use of headings and subheadings. Organizing your documents in this way can make your Candidate Packet easier to navigate through in the Interfolio platform. The candidate will not upload any documents to the Post Submission Section of the Candidate Packet. This section will be used by OFA to upload documents from candidates after the due date. This can include things such as updates or acceptance letters for grants or published works that are in the pipeline and have been mentioned in your review documentation. Candidate responses to evaluation letters will also be housed here. Previously, evaluation letters were found in the Post Submission section. In Interfolio RPT the evaluator letters are shared directly with the candidate and are not part of this section.

Interfolio does not support media file uploads. This is what they advise for linking video files:

  • About Media Files: You can also add links to webpages which will display in our document reader, and we have integrated support for Youtube and Vimeo to pull your media content (video and audio) into our reader where they will display along with all of your other materials.
  • Media Files: Use Youtube and Vimeo to include video and audio files. We don't host your video/multimedia content directly on our servers. Instead, we have integrated support for Youtube and Vimeo to pull your media content into our document reader where your reviewers can access them presented along with all of your other materials.
