Persons of Interest are Independent Contractors, Temp Workers, Clinical Preceptors, and Volunteers.

When an account is created, an email will be sent to both the POI and the POI’s sponsor/Manager. The email to the POI will be sent to the POI’s personal email address. The email will include a link that the individual can access to claim their account. They will be required to enroll in 2FA and will then be able to create their own password.

An email can be resent from the system. The process is defined in the Operations Guide. If the issue persists, check the POI’s personal email address that was entered or contact the Service Desk for assistance.

The Sponsor is the person requesting that the account be created or the person the POI will report to. This information is required.

• All POI’s, except Clinical Preceptors, have a default end date 6 months from the time of account creation.

• Clinical Preceptors will have a default end date of 1 year from the account creation date.

• YES. End dates can be updated at the time of account creation in required.

• When a request is made to extend the end date, the Operations Guide provides instructions on updating the end date for the individual.

• An email reminder of the approaching end date will be sent to both the POI and the Sponsor.

• Reminders will start 30 days before the target end date. If no action is taken, additional reminders will be sent 20 days, then 10, 5, 3, and 1 day before the end date if no action is taken to extend the end date.

• When the end date is reached, the account will be disabled

YES. When an account is created, you can specify the date the individual will start their engagement with Chapman. The system will place the request in a “Pending” state until the start date, at which time the account will be created.
