Interlibrary Loan Request Limits
- Interlibrary loan is available to current students, faculty, and staff of Chapman University.
Material and Checkout Information
- Books, articles, dissertations, conference papers, and similar materials are available through interlibrary loan.
- Entire journals and e-books are NOT available through interlibrary loan.
- We will not process interlibrary loan requests for items that the Leatherby Libraries owns.
- We will process your request within 1 business day.
- Allow approximately 2 weeks for book requests to arrive, and 4 days for article requests. We must rely on the lending library to respond and send us the item.
- The check-out period is determined by the lending library. Most libraries lend their books for approximately 3 weeks.
- Renewals are approved and denied by the lending library.
- Request a renewal through your ILL account 5 days before the item's due date.
- We must abide by the lending policies of the libraries we borrow from.
Fines & Policy Expectations
- $1.00 overdue fine per day, per interlibrary loan book to a $5.00 maximum late fine per book.
- If you lose a book that belongs to another library, you will be billed for the replacement, billing, and processing fees. The minimum charge will be $105.00.
- Fees for items that are lost or damaged must be paid in a timely manner at the Circulation Desk.
- All fines and fees must be paid for borrowing privileges to be restored, including access to reserve and interlibrary loan materials.
- Continued violations of the interlibrary loan policies may result in suspension or permanent loss of interlibrary loan privileges.
Business Office Referral—Students
Failure to promptly resolve these matters will result in the forwarding of unpaid debt (with an additional referral fee) to the University Business Office. Once paid at the Business Office, the student must bring a receipt to the Circulation Desk as proof of payment. Failure to pay library fines and fees referred to the Business Office may result in delays for future registration as well as transcript holds.

How do I request a renewal of an ILL item?

Why do I need a username and password to use ILL?
Your username and password allows us to give you secure access to information about your interlibrary loan requests. Your username should be the same as your Chapman username, which is the part that is before the @ symbol of your email address. We recommend that you follow good security practice and choose a password that is different from those you use to access other systems. However, no one but you will know your password, not even the library staff. The password you set is stored in an encrypted file.

What web browser should I use?
You need a web browser that can handle forms, tables, and preferably Cascading Style Sheets (CSS). We recommend using Internet Explorer (Version 11), Google Chrome, or Mozilla Firefox.
Is security a problem if I use a public workstation?
Yes. Web browsers cache information and create a history file on the local workstation. This allows a subsequent user of the workstation to access the system under your name using the browser's Back button to recall a page from the cache, or by finding a page with your personal information in the browser's history file. If you are concerned about the security of your interlibrary loan requests, you can take the following steps:
- Access ILL only from your personal computer or an otherwise secure workstation.
- When using a public workstation:
- Delete from the history file those pages that contain your personal information.
- Exit from the Web browser before you leave the workstation. This prevents the Back button from accessing the pages you were using.
Why don't I see all my older requests when I look at my request history?
We recently migrated to a new ILL processing system and were not able to transfer request history. On our new ILL system, we will be purging older records from our system periodically. Our policy is to keep requests online for several years order to comply with record keeping requirements of the copyright law.
What is electronic delivery?
Many libraries send copies of articles to us in electronic format. We can offer you the option of electronic delivery of these articles in PDF format (Adobe's Portable Document Format).
Why does my browser say that you're sending a cookie? What's in it?
The technology that we use sends a Session ID to be stored on your computer. You can refuse this cookie and still use ILL without any problems.
