»Inviting a Guest Speaker to a Zoom Meeting Hosted in a Chapman Classroom

Chapman classrooms are equipped with special technology for hosting Zoom meetings, which makes it possible to welcome guest speakers from almost anywhere in the world via Zoom.  Below please find instructions for inviting a guest speaker to a Zoom meeting hosted in a Chapman classroom.

Step 1: Create the Zoom meeting

First, you will need to create the Zoom meeting.  If you are an instructor, we recommend creating the Zoom meeting in the Canvas course for the class the guest speaker is visiting.  To review the steps, please see the following page: Create a Zoom Meeting in Canvas.

If you do not use Canvas, you can go to chapman.zoom.us to schedule your Zoom meeting.  Sign in, then select the Schedule a Meeting button in the Meetings tab.  Schedule a Meeting from the Web or Desktop

 

If your guest speaker is from outside of Chapman University, be sure not to select the Only authenticated users can join meetings or Require authentication to join setting when creating your Zoom meeting.

Step 2: Share the Zoom meeting information with your guest speaker

Once you have created the Zoom meeting, you can easily copy the meeting invitation to share with your guest speaker.  

From Canvas

  1. Click on Zoom in the navigation menu of the Canvas course where you created the Zoom meeting.
  2. In the Upcoming Meetings tab, click on the Topic (title) of the Zoom meeting.
  3. Next to Invite Attendees, click on the Copy Meeting Invitation link.
  4. A window will open with the full Zoom meeting invitation.  Click on the blue Copy Meeting Invitation button at the bottom.

From chapman.zoom.us

  1. Click on Meetings in the left-side menu.
  2. In the Upcoming tab, click on the Topic (title) of the Zoom meeting.
  3. Select the Copy Invitation button.

This will copy the Zoom meeting invitation to your clipboard.  You can now navigate to your email and paste the Zoom meeting invitation into an email to your guest speaker so they have all the information they need to join your meeting.

Step 3: Start the Zoom meeting in the classroom

Now all that's left is to start the Zoom meeting in the classroom on the day you are welcoming your guest speaker.  You can find step-by-step instructions for the different types of Zoom-enabled classrooms below.
