The purpose of this FAQ section is to help Chapman Student Organizations find answers to commonly asked questions. If you still don't find what you need here, feel free to email us at studentorgs@chapman.edu.

You can request SGA funding for events or items to be purchased for your organization at least 2 weeks in advance of your event date or desired purchase date through the SGA Funding Application. You do not need to have an on-campus account to request funding. For questions about SGA funding, please contact the Director of Finance at sgafinance@chapman.edu.

You can request an on-campus bank account for your organization through the Organization/Club Account Request Form. It takes about 3 weeks for financial services to complete the account creation process. Please keep in mind that Chapman University does not give money to student organizations, so the account will start with a balance of $0 and any money that will be in the account will be from dues collected or fundraisers held by your organization. Please only open an on campus bank account if you intend on being financially active with the account.

Please email studentorgs@chapman.edu with your organization name and account number to request a balance. If you don’t know your account number, we can look it up for you. If your organization does not have an on-campus account, you can request one through the Club Account Request Form on the Student Organizations Engage page at engage.chapman.edu.

To be reimbursed from your club account, you’ll need to first make sure that you have all itemized receipts and proof of purchase (either the last 4 digits of the card used to pay on the receipt OR a bank statement with the transaction). Then, you can email studentorgs@chapman.edu to ask for the Non-PO form and Student Org approval form to attach with your receipts. All of this information can then be forwarded to accountspayable@chapman.edu, which can take up to 3 weeks to process your form and send out the check.

For board members other than the president, please have the primary contact, who should be the president, update the roster on Engage by going to manage → roster, then select the appropriate members and click on the edit pencil button to update their position.

For new presidents, if the old president is available and still listed as the primary contact, have them follow the above steps to add the new president as both the president and primary contact positions. If you are not in touch with the old president, please email studentorgs@chapman.edu and we can switch the new president and primary contact information to grant manage access.

Please email us at studentorgs@chapman.edu to request printer access. Only the primary contact will have access with their normal Chapman credentials. Each organization has up to 250 black and white or color prints, courtesy of the Student Government Association.

Waivers are required for any medium- to high-risk activities, including events off-campus for which the organization is providing transportation. If your SOA hasn’t already reached out about a waiver with your room booking, please email studentorgs@chapman.edu at a minimum of 5 business days in advance of your event date, including the start date and time, end date and time, location, and any risks involved in your email. Common events that will require waivers are sporting events, bonfires, dance rehearsals/performances, physical labor community service, overnight trips, and off-campus formals.

Events with minors (Chapman students who are 17 do not apply) will require special Risk training and a specific waiver for minors and their guardians that Risk Management creates. More information about events with minors can be found here.

If you’re looking to book an off-campus venue, transportation service such as buses, equipment rentals, or vendor services including paid speakers or photographers, you’ll need to have a legal agreement through the University on file in order to issue payment. Please reach out to studentorgs@chapman.edu for a contract template. Please keep in mind that agreements can take a minimum of 4 weeks to process. Refer to our contract policy for more information.

To request changes to your room reservation, including the date, time, location, new facilities additions (ex: tables and chairs), or media setup (ex: laptop, microphone, etc) please contact eventoperations@chapman.edu at least 5 business days in advance of your original event date and CC studentorgs@chapman.edu.

All student Organizations have access to display digital signage across campus. In order to display Digital Signage you may fill out the Student Organization Engage Digital Signage Request Form. We will then review/upload the signage and send it into Chapman Digital Signage for it to be approved/ denied by the different departments on campus.

If you have received an email notifying you that your organization has been frozen, you most likely have not attended any of the MANDATORY meetings or you have not submitted the previous semester’s End of Semester Report. While frozen, you do not have access to the benefits of being an active club on campus and will not be able to hold meetings/ events or engage in any other club related activities. To become an active organization again please email Studentorgs@chapman.edu to find out the steps to become active.
