»ERCR Form Submission

We are excited to announce a streamlined process for submitting the CombinedERCR, Standard and Standard and Sponsored Project Services Employee Requisitions and Change Requests (ERCR) for new hires and position changes related to Staff and Administrators.

You can now directly and electronically add important details with DocuSign integration. Watch the short training video below to learn how to submit the ERCR form on Docusign, or review the steps to learn how to log in.

 


 

  1. Sign in to DocuSign using your Chapman University email and password.

  2. Click the Start button.



  3. Click on Envelopes, and select Use a Template.



  4. Click on the Shared With Me tab on the left side of your screen, select the Combined ERCR (Standard and SPS), then click on Add Selected in the bottom right corner of the screen.

  5. Complete the appropriate names and email addresses for the ERCR routing process. Please review the ERCR training video for more information on each of the Office's ERCR routing processes. Click Send to continue.
  6. On the ERCR form, select the appropriate ERCR Type and fill in the other required fields.
      • If ERCR Type = Standard. DocuSign will follow the workflow of: User-specified routing process > Human Resources for processing > Payroll for documentation
      • If ERCR Type = SPS, page 2 will appear to allow designation of how the position should be split-funded. DocuSign will follow the workflow of: User-specified routing process > OOR designee > Human Resources for processing > Payroll for documentation
  7. For both ERCRs:
      • If “Requires Financial Services Approval” is “Yes”, the workflow is configured to route it to the appropriate Financial Services team for further confirmation of funding availability.
      • For Positions funded from Fund 115,170,180,185,535,580, or 990, “Yes” should be selected.
      • If “Requires Provost Approval” is “Yes”, the workflow is configured to route it to the Academic Financial Operations team for further confirmation of funding availability.
      • Departments under the Provost’s purview should select “Yes”, if the request includes a position that is charging to Fund 100.

8. Select the Employee Classification and an appropriate Action to route the ERCR to the teams responsible for review and signatures.

Limited-term, temporary, or second assignment extension from the previous end date

Position

Position attribute changes, like position title, salary, work hour, chart string, etc. or adding hourly assignments for a staff employee.
