Event Scheduling Timeline
Event scheduling at Chapman is made easy with the help of Event Operations and the
use of our online space reservation system, 25Live. In an effort to help all event
planners during this process, we have created the event scheduling timeline below.
This allows everyone to clearly see when they can submit their event to the 25Live
system, and what the official cutoff dates are before the system opens to a broader
audience.
2026-2027 Academic Year
Please note: The 2025-2026 academic year is now open to all individuals to submit their events.
- December 1, 2026
- All Major Events submitted to Event Operations
- TBD
- Events Advisory Group Meeting
- February 15, 2027
- Event Operations will process Major Events for 25/26
- March 1, 2027
- 25Live will be available for non-major events that need special consideration
- March 29, 2027
- 25Live will open for the 25/26 academic year for the campus community as a whole
2026-2027 Restricted Dates:
- Aug. 18–23, 2026: Orientation
- Sept. 7, 2026: University Holiday
- Sept. 16, 2026: Fall Career Fair
- Sept. 26, 2026: Chapman Open House
- Oct. 2–3, 2026: Homecoming
- Nov. 13, 2026: Chapman Open House
- Nov. 26–27, 2026: University Holiday
- Dec. 24, 2026–Jan. 3, 2027: University Holiday
- Jan. 15, 2027 (until 3 p.m.): Chapman Bound Admitted Student Day
- Jan. 18, 2027: University Holiday
- Jan. 26–28, 2027: Spring Orientation
- Jan. 28–31, 2027: Sorority Recruitment
- Feb. 15, 2027 (until 3 p.m.): Chapman Bound Admitted Student Day
- Feb. 26–27, 2027: State of the University Address & Parent Spring Summit
- March 6, 2027: Chapman Open House
- March 10, 2027: Spring Career Fair
- March 12, 2027: Chapman Open House
- March 26, 2027: University Holiday
- April 2, 2027 (until 3 p.m.): Chapman Bound Admitted Student Day
- April 10, 2027 (until 3 p.m.): Chapman Bound Admitted Student Day
- May 21–23, 2027: Commencement
- May 31, 2027: University Holiday
Please note that events will not be approved during these timeframes unless they are directly connected to and enhance the primary event, and do not create logistical or resource conflicts. If your department is considering an event during one of these periods, please reach out to Event Operations as early as possible to discuss.
