A remote work model driven by the COVID pandemic prompted the need for workforce-related analysis and decisions not typically required during normal operations. Workforce data and information were not readily available and required weeks to gather from various sources to compile, analyze, transform, and report. This process resulted in data that was not consistently accurate, as evidenced by mismatched numbers on different reports.
To address these issues, PRJ Consulting was engaged in late 2022 to assess the current system and present recommendations. Based on interviews and input from key stakeholders, they identified a list of problems that likely contributed to reporting issues. Key among these is:
- Essential Position Management fields are not fully configured to support the desired reporting.
- HCM source data originates in other systems and is manually entered into PS HCM, increasing the risk of data entry errors.
- Commitment Accounting is not enabled in HCM to capture budget data currently residing in different systems.
- A lack of consistent processes exists across the university for transactions that impact position management and budgeting, such as hires, transfers, terminations, and salary changes.
- Security is not properly configured in HCM to allow people managers access to their workforce data.
