Data@Chapman

» Data Systems

Chapman’s data is largely stored in a few primary systems, and those systems may also provide reports. PeopleSoft is our main system for ERP (enterprise resource planning), and it has three pillars focused on different types of resources: 

  • Campus Solutions houses most student information, such as classes, grades, degree requirements and student emails and addresses. It also includes enough instructor data to assign instructors to classes. 
  • Financial Management stores and tracks all of Chapman’s financial transactions, and includes the general ledger, budget, accounts payable, accounts receivable, and student financials 
  • Human Capital Management (HCM) is responsible for housing staff and faculty employment records. This system enables Chapman to track and pay its workforce. 

While our institution strives to keep as much information centralized in PeopleSoft as possible, PeopleSoft is not suitable for or capable of meeting all of Chapman’s data needs. Alumni records, as well as donor relations and institutional giving, is managed in Affiniquest. Student housing assignments and room inventory is managed in StarRez. And Slate handles the applications and associated data for all of our undergraduate applicants.

Chapman’s Data Warehouse is not a system, however it acts as the source for a growing number of reports. The Data Warehouse contains copies of data from multiple systems, such as PeopleSoft, and allows report writers a more flexible environment for creating reports using that data. Crucially, it also provides a way to combine data from multiple sources, such as PeopleSoft Campus Solutions and Slate, or even between the pillars of PeopleSoft itself. By contrast to the source systems, however, the Data Warehouse is updated only once per day, so its reports will not reflect same-day changes in the source systems.
