INTERLIBRARY LOAN POLICY

Definition
An interlibrary loan (ILL) is a transaction in which library material, or a copy of the material, is made available by one library to another upon request.

Requirements
Interlibrary loan requests need correct, specific citations before they can be sent out to borrow from another library.

BORROWING SERVICES

Eligibility
We will borrow materials which are not available from the Chapman University libraries (Rinker Law Library and Leatherby Libraries) for current law school faculty, students and staff.

How much does it cost?
There is no charge.

How do you make an interlibrary loan request?

  1. Check the library’s on-line catalog to make sure that the material is not available on campus.
  2. Check the law library’s electronic article databases, such as Lexis, HeinOnline and Index to Legal Periodicals, to make sure the material is not available electronically. Search the Leatherby Libraries “Periodicals Holdings Catalog” for electronic full text and print periodicals availability.
  3. If you need help using our catalog or verifying information, please inquire at the reference desk.
  4. Submit your ILL request at the circulation desk or on-line at the law library home page.
  5. You will be notified via e-mail when the material has arrived and can be picked up at the circulation desk. Books and articles requested by faculty are put in their mail boxes.
  6. You are liable for any lost or damaged materials. 

What types of materials can you borrow through interlibrary loan?

Materials frequently obtainable through interlibrary loan:

  • Books                                     

  • Journal/newspaper articles

  • Newspapers on film               

  • Microfilm

  • Microfiche

Materials generally not obtainable through interlibrary loan:

  • Media items, such as DVDs, CDs and tapes

  • Bound journals           

  • Books or binders with multiple parts

  • Rare books, manuscripts & other Special Collection items (see instructions for Special Collections)

Instructions for Special Collections

Manuscripts and archival materials are valuable materials usually housed in Special Collections and available for “library use only.”  It may be possible to purchase a photocopy or microfilm copy of a specific item or part of an item. However, there may be a substantial cost involved which you will be asked to pay.

Use the online finding aids of the institution owning the manuscripts to find the letter, paper, sheet, or document you need copied for your research. Submit your interlibrary loan request for this particular item.

Requests for broad topics are not possible. Special collections librarians are very helpful and happy to share their materials with people that in are interested in their collection. When the extensive use of a collection is needed, we suggest the researcher travel to the library for on-site access. When materials are not available for loan, ILL will supply you with the contact name, phone number and email address to the library where the material is located. 

How long does it take to receive materials?
Please allow two weeks. The time depends on the location of the lending library, the availability of the item and the U.S. mail service. Your request is sent out within 24 hours of receipt; we strive to find the quickest method to fill your request.

What is the normal loan period?
Usually three weeks. 

LENDING SERVICES

Eligibility
Loan/photocopy service is available to all U.S. libraries. We do not lend to information brokers. 

How much does it cost?
We are a reciprocal lender. We charge libraries what they charge us. We charge firms and for-profit organizations for loans and photocopies:

Loans: $15

Photocopies:  20 cents a page plus a $5 shipping fee.

Loan period
We lend books for one month. Renewals are given. Materials are sent via U.S. mail. Books are sent library rate and photocopies are sent first class.

Lost books
There is the replacement cost plus a $15 processing fee for each lost book.
