Printing Charge Policy
OverviewTo eliminate excessive/abusive printing and become more environmentally friendly Chapman University will implement printing charges on the printers in the Leatherby Libraries and the computer labs.
All Chapman students on the Orange campus that have a network login will have a printing account.
• Undergraduate student printing accounts will be credited with a balance of $12.50 (250 sheets) for the Spring/Fall semesters or $5.00 (100 sheets) for the Interterm/Summer semesters.
• Graduate student printing accounts will be credited with a balance of $20.00 (400 sheets) for the Spring/Fall semesters or $5.00 (100 sheets) for the Interterm/Summer semesters.
• PhD student printing accounts will be credited with a balance of $25.00 (500 sheets) for the Spring/Fall semesters or $5.00 (100 sheets) for the Interterm/Summer semesters.
• Law School printing accounts will be unlimited for the Spring/Interterm/Fall/Summer semesters.
Each page sent to the printer will debit your account by $0.05. Students who exceed their print credit per semester must pay for additional print credit before the network will allow them to print.
FeesEach print sent to the printer will be debited from the print account at a rate of $0.05 per sheet. If the student exceeds this credit they must purchase additional print credits. Print credits may be purchased online by clicking on the Purchase Print Credits icon on the Windows desktop. Print credits will be sold in units of $1.00(20 sheets), $5.00(100 sheets), $10.00(200 sheets) and $15.00 (300 sheets) increments.
To purchase print credits students must have a declining balance account with the Business Office. The charge for the print credit will be deducted from the declining balance account. Once sufficient funds are verified through the online Purchase Print Credit application the student’s print account will be updated immediately and printing may continue.
All print quotas will expire and be deleted from the system at the end of each semester regardless of the account balance. There will be no carry over to the next semester since each student will be given another print credit. Purchased print credits are not refundable. Make sure that you only purchase the number of print credits that you will use before the end of the semester.
PolicyEach student’s print account will be tracked through a SQL database and Print Manager software. When a student account becomes low or has insufficient funds a pop-up on their Windows desktop will inform them of the situation. The student must purchase more print credit to continue printing.
In rare circumstances the print job may experience a problem and a page or pages may not print properly. Adjustments to accounts will be made only under the following situations:
- There was a problem with the print account update through the Purchase Print Credit application.
- There was a printer malfunction and the print was never delivered or is damaged and unusable.
Only IS&T staff with proper authorization will be allowed to make adjustments to a print account. Students that encounter a printing problem and need an adjustment must go to the Leatherby Library Computer Lab Help Desk in the basement and fill out a Print Problem Adjustment form. Adjustments to the print account can be made between 8 am and 5 pm Monday through Friday.

How do I find out how much of my print quota I have used?
Each time you login to Windows a small pop-up screen will indicate how many pages you have printed to date. Additionally you may go to http://web.chapman.edu/print to obtain your print account balance.
Can I stop a print job before it is complete if I realize that I no longer want what is printing?
Once you have sent a job to the printer it cannot be stopped. Be sure to verify the number of pages you have sent to the printer before approving it. If for any reason there is a technical problem with a print job such as a paper jam, inform a staff member at the Computer Lab Help Desk.
What happens if there is not enough credit in my account?
You will not be allowed to print the job. You will receive an error message from the print management software indicating that you have insufficient print credits to print the job.
What happens to my quota at the end of the term?
The printing credit will be reset at the beginning of each semester. Credits do not accumulate from semester to semester and are not refundable.
What happens if I use all of my print credits?
You will not be able to print until you purchase more print credits through the Purchase Print Credit application. Once you make a print credit purchase you will be allowed to print again.
What do I do if my print job is smudged and unusable?
See the Computer Lab Help Desk staff and they can assist you with reprinting and correcting your quota. Make sure that you bring the damaged print with you.
How can I reduce my printing?
- Use web browser bookmarks to save material you are interested in rather than printing them.
- Email yourself URLs of web sites you are interested in rather than print them.
- Use the print preview feature of applications to verify output layout of documents which you are frequently updating. Only print when you are satisfied with the final result.
- When making changes or corrections to a document only print the page that contains the corrections instead of reprinting the entire document. If you are unsure how to do this a staff member at the Computer Lab Help Desk.
- Consider printing PowerPoint slides 3 to 6 to a page. This will also speed up the printing process.
- If your print job does not print don’t resend it. There may be many other jobs ahead of yours in the queue or the printer may have run out of paper. If you keep resending your documents to the printer multiple copies will be printed later and deducted from your account.
- When you leave a computer system make sure you remember to log out. If you leave yourself logged in someone else may be able to use your quota.
