As a part of its commitment to scholarly, creative, and interdisciplinary work by students at Chapman University, OURCA invites proposals to the Undergraduate Student Scholarly Research & Creative Grant program.


Spring Scholarly & Creative Grant Application Deadline:

Friday, April 13, 2018

4 p.m.  


Awards are intended to provide support for a variety of faculty-mentored scholarly or creative projects conducted by students. Grants typically do not exceed $1,000 but all reasonable proposals will be considered. Funds may be used for a number of purposes, including (but not limited to):

  • The purchase of equipment, materials, or supplies directly related to the project.
  • Facility rental, copyright fees, and other costs associated with creative productions.
  • Non-material expenses directly related to the project such as test subject remuneration, license fees, or external lab analyses.
  • Travel expenses required to conduct the creative activity or scholarly research, such as working in an archive or collecting field data. If you're presenting research, see OURCA Travel Grants.

Undergraduate Student Scholarly & Creative Grants are not to be used for salary or stipend.

Research on Africa Grant

Projects that involve research on Africa may be eligible for this reserved funding provided to OURCA from The Earl Babbie Research Center. Please see the Research on Africa Grant Requirements dropdown for more information.

+ - Eligibility

All undergraduate students on the Orange campus mentored by a full-time Chapman University faculty member are eligible to apply. Students may only receive one grant award each academic year, either in the fall or spring. Unsuccessful proposals may be revised and resubmitted in future calls for proposals. Graduating seniors are not eligible for the Spring grant, unless accepted in the SURF program the summer immediately following graduation, and the funds will only be available during the SURF program.

+ - Requirements & Selection Criteria

  • Description of Project & Benefit to Student (3 pages maximum) 
    • A proposal outlining the academic context, objectives or goals, methodology, outcome or product, and schedule of your project that is no longer than three pages total. Use Times or Times New Roman 12-point font with 1-inch margins. All elements of the proposal, including any works cited, must be contained within the three-page limit. This document must not exceed three pages total. Additional pages will NOT be included in the proposal packet for evaluation purposes.
    • The student must be the author of the project proposal itself. While the mentor should advise the student, a student who submits a proposal written by a mentor or by any person other than the student applicant will be considered in violation of the university's policy on academic honesty.
  • Letter of Support provided by the Faculty Mentor
    • One letter written by the faculty mentor should speak to the nature of the proposed research or creative activity, including the roles both the fellow and the mentor will play in the collaboration. While the faculty member is encouraged to provide evidence of the applicant’s ability, the letter is not explicitly or solely a letter of recommendation for the student per se. A faculty mentor might consider giving context for the proposed project, including its potential value in the field, as well as speaking to the student’s preparation and the ways that the faculty mentor will guide or oversee the student’s work. (The letter is submitted separately by faculty mentor.)
  • Budget Worksheet
    • Additionally, your project may require additional approvals if it involves any hazardous materials or IRB approval if it involves any human or animal subjects; students are responsible for working with the faculty mentor to ensure that the project has approvals necessary to begin research and for submitting verification of authorization to OURCA. If your grant needs hazardous materials approval or IRB approval, any grant award is pending until the hazardous materials approval or IRB approval has been submitted to OURCA prior to conducting research. 
  • Selection is based on the following criteria: 
    • Coherence of the Project Description
    • Feasibility and Value of the Project
    • Academic, Intellectual, or Creative Rigor of the proposed work
    • Originality of or Innovation in the Project
    • Overall Excellence

+ - Deadlines

  • OURCA will start accepting applications approximately 30 days prior to the published deadlines.
  • For Students
    • Spring Application deadline: 4pm., Friday April 13, 2018
    • NO APPLICATIONS WILL BE ACCEPTED IN HARD COPY OR VIA EMAIL.  The online submission portal is located in the OURCA website on the Scholarly/Creative Grants web page. 
    • All required materials must be included with the application. Proposals, Budget Worksheets, previous grant proposals & Reports On Use (if applicable), and the Africa Application (if applicable) will not be accepted separately; make sure all documents are ready when applying.
  • For Faculty
    • Spring 2018 - Tuesday, April 17, 2018, Noon (12 p.m.)
    • Letters of Support must be submitted via the online portal
    • Faculty will receive the online portal link in an email once an application has been received.
    • NO LETTER OF SUPPORT WILL BE ACCEPTED IN HARD COPY OR VIA EMAIL. Without the Letter of Support, the application will be considered incomplete and not be reviewed.

+ - Funding Period & Grant Expenditure Guidelines

  • Awarded funds will be available within the following spending periods. 
    • Grants awarded in Spring '17 (Summer/Fall spending period) - June 1, 2017 - December 1, 2017.
    • Grants awarded in Fall '17 (Interterm/Spring spending period) - January 1, 2018 - April 27, 2018.
    • Grants awarded in Spring '18 (Summer/Fall spending period) - June 1, 2018 - December 1, 2018
  • Any purchases or reimbursement requests received after the last date of the spending period will be denied.
  • The following are a few guidelines regarding the expenditure of your award funds.
    • Please familiarize yourself with Chapman University’s Fiscal Policies which can be found on the Financial Services webpage: https://www.chapman.edu/wilkinson/_files/crassh/Graduate%20Student%20forms%20Oct%202015/Fiscal%20Policy%209%20102015.pdf.  Non-compliance with these policies and procedures could risk non-payment of a grant award expense.
    • Most purchases should be coordinated with the Purchasing Department and ordered via PeopleSoft, through your faculty mentor.  Items that should be coordinated through Purchasing include books, computer equipment, software, technical equipment, etc. If Purchasing is unable to assist you and your faculty mentor with the purchase, they will offer information on how you should acquire the items(s). purchasing@chapman.edu OURCA will supply you with the appropriate budget code once a quote is received.
    • If your project is pending IRB or IACUC approval for human and/or animal research then your IRB/IACUC approval documentation must be submitted an in your grant file prior to any reimbursement of grant award funds.
    • Unless otherwise instructed, property and equipment acquired by Chapman grant award funds are the property of the University and will be tagged and accounted for as such. Please work with OURCA to turn in items at the conclusion of your project or two weeks before the last day of classes of the semester you graduate, whichever comes first.
    • The university prohibits reimbursement of payments to individuals for services. If you have an individual to perform a service, the university must pay that person directly. In addition that person must complete a W-9 form https://www.irs.gov/pub/irs-pdf/fw9.pdf.
    • When completing your paperwork please indicate the expenditures listed for your OURCA Scholarly/Creative grant award.  Please fill out all paperwork completely, including legible and detailed descriptions of all items purchased. When submitting an expense reimbursement form, be sure to include all invoices and proof of payment such as credit card receipts, canceled checks, etc. (This does not include credit card statements).

+ - Report on Use

All grant recipients must complete a Report on Use form to detail how funds were used. The Report on Use Form must be signed by the recipient and her/his faculty sponsor and submitted by these dates:

  • Grants awarded Spring '17 - December 15, 2017
  • Grants awarded Fall '17 - May 15, 2017
  • Grants awarded Spring '18 - December 15, 2018

+ - Research on Africa Grant Requirements

The Earl Babbie Research Center in conjunction with the Office of Undergraduate Research and Creative Activity (OURCA) has funds to support undergraduate research on Africa.

Along with the standard materials required for all Undergraduate Student Scholarly/Creative Grant applications, please provide the following supplemental materials if you are applying for a grant specific to research on Africa. The review committee will consider a broad range of projects.

  • Attach a brief essay (no more than 1 page) describing how your project will contribute to knowledge about African history, culture, social structure, international relations, health, development, or other areas of inquiry.
