Information for New Employees
User Accounts: All employees are given accounts on Chapnet. These accounts can be used to access Chapman computers, email, the Blackboard portal, WebAdvisor and other Chapman online services. To access your account you will need to know your Username and your Password. Your Username and Password, as well as your Employee ID number, will be created as soon as you have signed your contract. If you have signed a contract and have not been given information about your Chapman Username and Password please call the Help Desk at (714) 997-6600. For security reasons you should change your password from the initial one that you are given. It is recommended that you change your password every month.
All Chapman computers are members of Chapman's Active Directory structure. You can login to any Chapman computer at any Chapman campus by using your Chapman Username and Password. Security policies implemented through Active directory keep the security patches and antivirus software on your computer up to date.
Some employees are also given accounts on our HP9000 systems if their job responsibilities include working with Datatel (the Student Information System) or Bitech (the Financial System). Separate accounts may also be needed to access Cyborg (the HR Payroll System). You will receive training on these systems if your job requires you to work with them. Information about students accessed through Datatel is subject to the FERPA privacy regulations. For questions about HP9000 accounts contact John Carver, ext. 7618.
Email: Your Chapman email address has the form username@chapman.edu. Chapman uses Microsoft Exchange for email, calendaring, task management and document sharing. All employees have Exchange mailboxes. Your Chapman computer will be configured to use Microsoft Outlook to connect to the Exchange server. If you are away from your Chapman computer you can connect to your Exchange mailbox by using Outlook Web access (http://exchange.chapman.edu). (Note that part time faculty and students use Chapman's Unix email system instead of Exchange)
Viruses: Email messages received from the Internet are scanned for viruses by our Unix servers before they are passed on to the Exchange server. The messages are scanned again by the Exchange server, using a different antivirus program, before being delivered to your mailbox. All Chapman computers are configured with an antivirus software package which scans the messages again before you read them. Attachments that can contain executable programs are blocked by the antivirus programs. You should never open an attachment unless you are expecting it and you know who sent it. Images in email messages from external sources are not displayed automatically. You can right-click on an image to display it if you are confident that it came from a reliable source.
Spam: More than 70% of the email messages on the Internet today are unsolicited commercial email, otherwise known as "Spam". Chapman's Unix servers (using a program called "SpamAssassin")scan incoming messages for signs of Spam, give each message a score, and tag the subject lines of messages that are likely to be Spam. The tagged messages are automatically moved to a Spam folder when you check your email. The Spam-tagged messages will remain in your Spam folder for two weeks (so you can check your folder for incorrectly tagged messages) before they are automatically removed.
In addition to the Spam detection done by SpamAssassin, there is a good Junk E-Mail filter built in to Outlook. To manage the Junk-Email filter, right-click on the message listing in your Inbox and select "Junk E-mail" from the pop-up menu. You can adjust the aggressiveness of the Junk Email filter and you can manage your "Safe Senders" and "Blocked Senders" lists.
SpyWare: SpyWare is software that is downloaded to your computer when you click on certain links on certain websites. The SpyWare software will run in the background on your computer and will slow down the performance of your computer. It will also report your activity back to the home base of the company that created it, compromising your privacy. You should never click on a link in an email message unless you are sure that it is legitimate. If you feel that your computer might be infested with SpyWare, please call the Help Desk (714-997-6600) for assistance in removing it.
Connecting from home: If you have a broadband Internet connection at home, such as cable modem or DSL, at home then the best way to connect to Chapman is to make a Virtual Private Network (VPN) connection. If you make a VPN connection to Chapman you can use all Chapman network services just as if you were actually on campus. You can also dial in to Chapman using the number (714) 244-5000.
Do not download any sensitive information from the Chapman network to your home computer. Make sure that your home computer has up-to-date security patches and antivirus software before connecting to the Chapman network. Make sure that nobody except you has access to your home computer when it is connected to the Chapman network through a VPN or dial-up connection.
Backups: Chapman computers are equipped with CD-RW drives so that you can back up important files to CD. Some data is stored on network drives and these drives are backed up centrally by IS&T. If you have questions about backing up your data, please talk to your supervisor.
Computer Help: If you need help please call the Help Desk at (714) 997-6600 or visit the Computing website. The Help Desk staff will create a work request for your problem and will try to resolve your problem on the phone. You can arrange to have Virtual Network Console (VNC) software installed on your computer so that the Help Desk Staff can have direct access to your keyboard and monitor. If the problem cannot be solved over the phone, the Help Desk will reassign the work request to the appropriate group in IS&T.
