Important Appointment Information
Appointment Policies
- If appointments are fully booked, please try again the next day. Our scheduling system allows students to schedule 12 days in advance and appointments are released every day.
- Cancellations should be done at least 24 hours in advance to allow other students to schedule. Please be respectful and considerate as other students also need to schedule appointments. Should you need to reschedule or cancel, please use the “manage booking” option in your confirmation email. If you do not see this option, please email advising@chapman.edu for assistance.
- Please only schedule one appointment at a time to be considerate of other students who need an appointment. If you schedule another appointment before the first one has been conducted, the second appointment will be canceled.
- Your appointment may be canceled if the wrong information is input when you schedule an appointment. For example, wrong ID number, email typo, etc.
- Please note that if you do not get a confirmation email within an hour of booking your appointment, you did not input your information correctly. Email advising@chapman.edu with any questions or concerns.
- Appointments may only be scheduled by the student. Academic advisors are unable to speak with parents, guidance counselors, or other family members without the student present.
- If you no show to your appointment, you will be marked as a no show in our records. If you no show twice and then choose to schedule another appointment, your appointment will most likely be cancelled and you will be asked to attend a virtual walk-in session before being able to schedule another full 30-minute appointment. Students who do not show up to their appointment without cancelling at least 24 hours in advance take an appointment spot that could be used for another student in need of assistance. This is especially challenging during peak advising times (such as the beginning of the semester and registration periods). Please be respectful and cancel your appointment at least 24 hours in advance so another student may take your spot. We understand that there may be exceptions to this policy due to emergency situations.
- All appointments are reserved for current students at this time. Prospective students should continue to work with the Office of Admissions and their Admissions Counselors until new student advising begins. The Office of Admissions contact information can be found here.
Virtual Appointment FAQs
Do I have to set up an account for Microsoft Teams?
No. As a Chapman Student you already have access or an account with your log-in information being your Chapman username and password.
What is needed for a virtual appointment?
A device that has audio, microphone, Internet access capabilities, and possibly the ability to download the Microsoft Teams app. Please also have your Program Evaluation accessible with your appointment questions and goals ready.
What do I do in case of connectivity issues?
If you are experiencing connectivity issues on Teams before your appointment contact your academic advisor via email immediately to inform them. If you lose connection during your appointment, please try joining the digital meeting again via the meeting link in your confirmation email from Bookings.
Do I need to have a webcam?
No. Click the link that is listed in your appointment confirmation email from Bookings to join the Teams meeting. As long as your device has audio and microphone capabilities, you can see what your advisor is doing on the screen and just have audio on your end to communicate back. No need to have a webcam.
Can I do the appointment on my cell phone?
You are able to join the Teams meeting via cell phone only if you have the Microsoft Teams app installed on your phone.
Do I need to have the desktop app installed on my computer to have the appointment?
No. There is a web-based in-browser version of the Teams app. This option will come up when you click the link to join the meeting. Note that Apple’s Safari browser does not currently support the in-browser version of Microsoft Teams. Please make sure you have another browser installed (i.e. Google Chrome, Mozilla Firefox, Microsoft Edge) to use the application or download the free desktop app before your appointment.
Are there differences between using the web browser-based version and the desktop app of Microsoft Teams?
The standalone desktop app does have more functionality. For example, the app allows you to turn on captions, and allows you to share your screen on your end if there is something you would like to share with your advisor during the appointment. Having the app installed is preferred, though it is not a necessity for your appointment.
There are no appointments available. What should I do?
We will have appointments available 1 week out. If you do not see an appointment slot available, please check again the next day as additional appointments may be added.
I am a parent. Can I schedule the appointment for my student?
In accordance with our regular office policy, the students need to schedule the appointment and should have their questions prepared ahead of time. The student is best at determining whether or not they need an appointment with our office. During appointments, we will only speak with students unless they give permission to also speak with others present due to FERPA regulations.
What if I just have a quick question. Do I need to schedule a full appointment?
If you have a short question, there is no need to schedule an appointment.
For these types of questions, you may join our Zoom walk-in hours or email your academic advisor directly. Please allow 3-5 days for an email response.
Why do I get an error message when I try to schedule my appointment?
The error message is often a result of our Bookings site not recognizing you as an authenticated user, the browser you are using, or the device you are trying to schedule on. Please try the following steps and try to schedule again:
- Make sure you are logged into your Microsoft Outlook account at www.outlook.office.com. Our scheduling system will only allow authenticated users to schedule (users with a Chapman email/Microsoft account).
- Use a different Internet browser. Do not use Apple’s Safari browser as it does not currently support the in-browser version of Microsoft Teams. Please make sure you have another browser installed (i.e. Google Chrome, Mozilla Firefox, Microsoft Edge).
- Use a desktop and not a mobile device.
- If you continue to get an error message, please do not continue to try and schedule appointments as it may result in multiple appointments booked. Please email advising@chapman.edu after you have attempted steps 1-3.

Schedule a Continuing First-Year Appointment - Program Evaluation Review
For this appointment, continuing students must be in first-year or sophomore standing based on credits earned. Students can review their class standing breakdown in the course catalog and their credits earned on their program evaluation. Please do not schedule this appointment if you are not a first-year or sophomore.
- Review the AAC appointment policies below.
- Know your Academic Advisor. All academic advisors and their assigned majors can be found HERE. If your regular Academic Advisor is completely booked up, you can choose the “anyone” option.
- Complete our mandatory appointment request questionnaire HERE so that you will be directed to the appropriate resource for assistance.
- If appointments are fully booked, please try again the next day. Our scheduling system allows students to schedule 12 days in advance and appointments are released every day.
- After completing the questionnaire, you will be directed to the correct resource whether it be emailing your advisor or attending walk-ins, scheduling an appointment, or a referral. If the questionnaire does not provide a scheduling link to you, please follow the directions provided.
Please note–your program evaluation must be up to date in order to receive accurate information, i.e. are of study declared, major emphasis declared, study abroad credits must be applied, outside credits should be listed, intended minor or themed inquiry declared if known.
Schedule a Sophomore Appointment - Program Evaluation Review
For this appointment, continuing students must be in first-year or sophomore standing based on credits earned. Schedule a Junior & Senior Appointment - Graduation Review
This appointment is for a full program evaluation review with the purpose of reviewing remaining credits to graduate. Please do not schedule this appointment for walk-in questions or major-specific planning/questions. For major or minor Program Advising, please visit our program advising portal HERE.
For this appointment, continuing students must be in junior or senior standing based on credits earned. Students can review their class standing breakdown in the course catalog and their credits earned on their program evaluation. Please do not schedule this appointment if you are not a junior or senior.

- Know your Academic Advisor. All academic advisors and their assigned majors can be found HERE. If your regular Academic Advisor is completely booked up, you can choose the “anyone” option.

Schedule an Academic Probation Advising Appointment
Students on academic probation are required to meet with their assigned academic advisor to review their grades, and develop a probation agreement which may include repeating courses, tutoring, academic mentoring, and regular meetings with an advisor. Your assigned academic advisor for probation will email you regularly. Please refer to your emails to know who your assigned academic advisor for probation is. Please do not schedule this appointment if you are not on academic probation.
