Cleaning the Sent Items Folder
Every time you send out an email in Outlook, a copy of the message is stored in the "Sent Items" folder in your mailbox. While this provides an easy reference for important messages, many unnecessary emails are stored here. To more effectively use Exchange and Outlook it is recommended that you go through your sent items and delete any emails you do not need a copy of. If you have previously AutoArchived your email, many of your older messages have already been moved to the local archive folder. Please refer to the "Archiving Old Email" instructions to find out how to archive your old email.

To access your sent items, simply select the Sent Items folder in the Folder List window in Outlook. This will display all of your sent messages in the right hand window for browsing. There are two ways to deal with unnecessary Sent Item emails:
STEP 1:
Delete any emails you absolutely do not need. These items will be moved into the deleted items folder and can be ultimately purged by right clicking the Deleted Items folder and choosing "Empty Deleted Items Folder"
STEP 2:
Move any mail that you may need a copy of into the Sent Items folder in your Archive. This is accomplished by selecting the messages you wish to keep and dragging them into the Sent Items folder under the Archive Folders icon. |
