Time Sheets

It is the University's responsibility to pay students in a timely manner. It is therefore your responsibility to collect, review, and sign time sheets on the 15th, and the end of the month. The time sheets must be completely filled out and corrected before they are forwarded to Payroll. Late time sheets are unacceptable, and we cannot withhold pay from students who do not return their time sheets to you. If you have difficulty with students who do not follow the time sheet rules, please take corrective action or contact us.

Work/Study students should fill out the blue time sheet, and non-Work/Study students should fill out the pink time sheets.

Please make sure that the time sheet includes the student's name, social security number, department name and number, job classification and the dates of the pay period. Before signing the time sheet, check that the hours reported are correct, and double check the addition. Many supervisors keep a photocopy of the time sheets for their records.

University Services provides time sheets to departments free of charge.

Hours and Breaks

Students are allowed to work no more that 19 hours per week, in all on-campus jobs combined. During the summer only (6/1- 8/31), students may work up to, but not beyond 40 hours per week. There are no longer any exceptions allowed to this policy.

You must make sure your students take a 10-15 minute paid break every 4 hours worked. Student employees are also required to take an unpaid half-hour meal break for shifts greater than 5 hours. If students do not take a meal break before starting their fifth hour of work, your department pays the employee an extra hour of pay, in addition to paying for all time actually worked.

The hourly and break requirements apply to the combined hours of all on-campus jobs that the student works. For instance, a student working two back-to-back 4 hour shifts in two different departments will get two 10 minute breaks and a 30 minute unpaid lunch break, even though the student works for only four hours in each job. So be sure to communicate with your student employee about whether they are working in other jobs on-campus.
