Posting Your Job

If you're going to be hiring new students into your area, make sure you have your job listed with the Student Employment Office. Just tell us which position to open (or to create a new job description if necessary). Positions need to be posted with us for three working days before making an offer of employment. Please be aware that if you are creating a new position for your department, a department head approval will be necessary.

There are several methods available for posting your position(s) with the Student Employment Office. You can submit your position via the Web, or call or fax a copy of your job description to us. See our Contact Us page for phone numbers.

Hiring Your Students

All new student employees will need a Student Employment Form (SEF) in order to be put on the payroll. Simply fill out an SEF for each student that will be working in your department (including student employees continuing from summer) and have the student bring the SEF to our office.

If it is a new academic year (fall), we will need to see each student employee to update their paperwork before they can begin working.

Make sure you've received an approval from our office before your student begins working. It is important that you receive approval from our office before the student begins working in order to help us comply with INS and IRS laws.

Rate Changes

Increases for students are normally done in September of each year, if the student's work merits such. It is helpful if there is a favorable Performance Evaluation on file. Increases are normally 25 cents to 50 cents. In order to put the rate change into effect, please Contact Us. The Student Employment Office will review the rate change and notify Payroll if it is approved.

Performance Evaluations

Base performance evaluations on the specific duties and expectations you have outlined with the student. Performance evaluations should be done annually. Evaluate in private, preferably away from distractions. Create an open dialogue and ask the student for input. Performance Evaluation forms are available from Student Employment Services, and copies of completed evaluations should be forwarded to our office to keep on file.

Terminations

If regular corrective action has not been effective, and you feel you need to terminate a student employee, please contact our office immediately. We will help you facilitate the termination. We ask that you Contact Us and inform us of the student's name, last day of work, and reason for the termination.

Periods of Employment

There are two different periods of student employment: Academic Year and Summer. The employment period for students hired anytime between mid August and late May will end on May 31. Any students who wish to work during the summer will need to submit an SEF for the summer. Summer employment is valid from June 1 to August 31. Any students who have worked during the summer, and would like to continue work after August 31, will have to submit an SEF to be rehired for the school year.
