Traveling Students

These are some general guidelines regarding travel and housing for the at-distance students who are accepted into either of the  High School Summer Workshops:

Travel:

  • IFREE and Chapman University have generously provided the funds to reimburse travel expenses, including an economy airfare (upon presentation of receipts).  Arrangements for discounted economy airfare will need to be made at least 21 days in advance.  If the cost of your flight is more than $500, please let us know in advance of purchasing the ticket.  You will only be reimbursed up to $500. Your arrival destination will be John Wayne Airport (SNA). Please plan to arrive on the Sunday before the workshop starts, (during normal business hours would be ideal!). 
  • Please send a copy of your airfare receipt and your flight itinerary to Sharon Krueger at krueger@chapman.edu for reimbursement - Fax (714) 628-2881; Phone (714) 628-2830. You will receive a reimbursement check upon arrival to the workshop.
  • Please arrange for a shuttle service to transport you to and from Chapman University. For students under the age of 18, I would like to again recommend your flights be arranged to arrive at Chapman University during business hours.  

 Housing:

  • Students will be housed in Chapman University residence halls. Each room has 2 single beds and 1 bathroom (see campus map).  The workshop will be held in Wilkinson Hall #116.

Mail will be delivered to the Conference Services Office, Argyros Forum 302, and can be picked up from 9 am – 5 pm everyday Mon.-Fri.

  • Public Safety Office (714) 997-6763 is the emergency number for parents.  The Public Safety Office is open 24 hours per day and can handle emergencies, as well as, page a student summer conference staff for assistance. 
  • The Summer Conference office building is staffed by students in Henley Hall.  Office hours are 8 am – 12 pm and 1pm - 5 pm seven days a week.  After hours they use a paging system to reach the staff.  If you arrive at the campus outside of these hours, there are instructions posted to page a conference assistant to aid your check-in.  Information on how to reach the staff person on duty is posted outside the Summer Conference office building.
  • Housekeeping is provided in the public spaces only.  Individuals are responsible for their own rooms.  Quiet hours in the residence halls are Sun. – Thurs. 10 pm - 8 am and Fri. & Sat. 12 am – 8 am.
  • Meals are served in the new Sandhu Residence Center. Mealtimes are typically, breakfast 7:30-8:30 am, Lunch 12-1 pm and dinner 5-6 pm.  Restaurant Services provide an "All You Care to Eat" menu with two entrees, including vegetarian options, a fruit and salad bar, desserts and beverages. The group will be issued a meal card each week.  Meals are served in a beautiful dining room overlooking the campus where guests can dine in or outside on the patio.
  • There is a $50.00 charge for lost room keys.
  • Check-in is at Henley Hall.  A graduate student and member of the ESI intern program will serve as the in-house resident assistant for the  high school students. We will have another member of the intern program serve as a back-up.
  • Please bring your own pillow, comforter and linens for an extra long twin. There is an overhead light, but some students prefer to bring a reading lamp.  DVD movies are also good to bring to play in your laptop if you would like. 
  • Please plan to check-out on Saturday after the last day of your workshop by noon.
